How Scroll developed a business application for Sitex, dedicated to real-time planning and monitoring of event security services

Sitex is a company specializing in event security. It supports event organizers in implementing, planning, and operationally monitoring security arrangements tailored to each venue, configuration, and on-site requirement level.

Before turning to Scroll, Sitex managed much of its operations on Airtable. This setup had helped structure initial processes, but it quickly showed its limitations: limited data storage, lack of alerts, no integrated messaging, insufficient visibility on schedules, and difficulty tracking on-site issues in real time.

The challenge was to rebuild a more robust business tool, specifically designed for the constraints of event security: agent scheduling, coordination with organizers and suppliers, time tracking, document management, incident reporting, and operational supervision from a centralized back office.

Problem / mission

Sitex needed to replace its Airtable-based organization with a comprehensive business application better suited to its operations and capable of supporting its growth.

The goal was not just to recreate what already existed, but to design a more reliable and seamless platform to manage the entire operational cycle: clients, events, schedules, security agents, suppliers, documents, alerts, and on-site incidents.

The solution had to meet several key requirements: be quick to use in the field, provide good visibility for teams, minimize data entry errors, secure data, comply with GDPR requirements, and ensure each user profile could only access relevant information.

Solution

We designed and developed a web-based business application enabling Sitex to centralize the planning and monitoring of its event security services.

The platform consolidates all the information needed to manage events: clients, organizers, agents, suppliers, venues, schedules, documents, security requirements, and assignments. From the back office, teams can create an event, build the schedule, assign agents, track availability, and maintain a clear overview of the entire organization.

The application also includes a user space tailored to different profiles. Organizers can track information related to their events, agents can access their missions, and internal teams have a comprehensive dashboard to manage operations.

Special attention was given to field use. Thanks to a QR code system, agents can report an issue directly from the event location. Incidents are then logged in real time in the interface, allowing Sitex teams to quickly identify bottlenecks, prioritize actions, and maintain a reliable record of each situation.

The solution also includes an interactive floor plan for better event visualization, automatic notifications, advanced filters, imports/exports, document management, and automations to reduce repetitive tasks.

On the technical side, the application was developed using Next.js and Supabase to provide a robust, scalable, and secure foundation capable of handling larger data volumes than Airtable while delivering a faster and more tailored experience to Sitex’s business needs.

Results

The new platform now allows Sitex to manage its operations from a single tool, specifically designed for event security.

Planning is clearer, information is centralized, and teams have better visibility into each event—before, during, and after the intervention.

Real-time alerts, notifications, and incident reporting also help better anticipate on-site issues and reduce information loss between agents, organizers, and internal teams.
