Imalize is a company specializing in import-export and the industrial supply chain. Its first commercial touchpoint is email: quote requests, calls for tender, technical drawings to be priced and orders arrive continuously across a generic inbox and each salesperson's individual mailbox.

This setup was reaching its limits. A request could get lost in a busy inbox — and every missed opportunity means lost revenue. Sales reps had to manually spot and re-enter each request into the ERP, a repetitive and time-consuming task. Without centralization, the company also lacked visibility into the real volume of incoming opportunities.

The challenge entrusted to Scroll: never miss a business request again and eliminate manual re-entry, with a strong sovereignty requirement — sensitive client data and technical drawings that must not pass through American AI services.

Problem / mission

At Imalize, business opportunities arrive by email, mixed in with daily noise: newsletters, automated notifications, internal exchanges, read receipts. Sorting them by hand, inbox by inbox, was both tedious and error-prone.

Three structural limitations: the risk of losing a request buried in the flow; the burden of manual re-entry into the ERP for each sales rep; and the lack of a centralized view of incoming opportunities, impossible to track consistently across inboxes.

The mission: automatically detect genuine business requests across all mailboxes, record them in the ERP without human intervention, and do so within a sovereign framework that guarantees data confidentiality.

Solution

Scroll deployed an automation workflow built on n8n, self-hosted on Imalize's own infrastructure: emails, attachments and business data never leave the company's controlled environment.

Every Outlook mailbox — the generic inbox and each salesperson's individual mailbox — is continuously monitored. The system only keeps emails carrying business attachments (CAD drawings and technical files: DWG, DXF, STP, STEP, IGS, PDF…), a strong signal of a pricing request.

At the core of the system, an AI agent powered by Mistral, a sovereign French model. The AI reads the subject, sender, body and attachments, then decides: genuine business opportunity or noise to discard. The business rule favors caution — when in doubt, the opportunity is kept: Imalize would rather check a false positive than miss an order.

Each qualified email is automatically sent to the Dolibarr ERP via API, with its metadata and attachments, with no re-entry. A safety net completes the chain: in case of a failed send or anomaly, the system retries, then alerts the administrator with a direct link to the incident.

Together this forms an end-to-end sovereign chain: hosting on Imalize's infrastructure, AI processing by a French model, and data that never leaves a controlled perimeter.

Results

The system now captures every incoming business request across all mailboxes, eliminating the risk of lost opportunities that weighed on the business.

Qualification, once manual, now takes less than a minute, and ERP entry no longer consumes the sales team's time — refocused on client relationships and high-value pricing work.
